How Helisafari works for trip organisers

Quick start: Share these details and we will add the trip to Inspire Me and send you an organiser token if you do not already have one. Nothing will be published until you set the max-helis number.

Once live, open admin to update max_helis (capacity, not below current bookings), add new dates, and amend the route or description. Title, image, and byline are fixed after creation.

Trip visibility and booking modes (set in admin):

Helisafari is a trip discovery and demand-building platform designed to work alongside your existing trip planning and sales process. It does not replace how you currently build, price, or run trips. Instead, it gives you a low-effort way to test interest, surface ideas, and reach a wider pilot audience before you commit time or resources.

If you run trips with a long shelf life, such as a general "Tour of France", we can add these to the Inspire Me section of Helisafari. These trips are presented as inspiration rather than fixed departures, which is how most pilots start thinking about longer or more ambitious journeys. Once a trip is live, you can add several potential departure dates to see whether interest builds around any of them, or you can leave dates open while you gauge demand.

If you already have a confirmed departure, you can add that specific date and focus attention on it. Alternatively, if you want to concentrate demand, you can show just a single date rather than several options. If you are not ready to schedule anything at all, you can publish the trip with no dates and simply allow interested pilots to contact you directly via a link in the trip description. This keeps the trip visible without forcing any commitment on your side.

When pilots see a dated trip and click the Join Group button, this signals genuine interest rather than casual browsing. As interest grows, you are notified, allowing you to decide when a trip is commercially viable before locking it in. There is no obligation created for either you or the pilot at this stage; it is purely a way of measuring demand and momentum.

Need to see your bookings? Visit the organiser console at admin and enter the organiser token we provide. You can review bookings and release holds there.

Booking requests generate an email alert to Helisafari and to the organiser email on the trip. Availability is updated automatically on each booking, so the next pilot sees the latest space count.

Pilots can cancel by replying to their booking email. We can then release the hold in the booking store. A self-serve cancellation flow can be added later if needed.

Helisafari is particularly effective because it exposes your trips to pilots beyond your usual customer base. The platform attracts pilots who are actively planning trips and looking for ideas, not passively consuming marketing content. This means interest tends to be higher quality and more relevant than traditional promotion.

The Helisafari landing pages are deliberately designed to feel like a practical tool for pilots rather than a brochure or sales page. That makes them immediately useful, which is why pilots keep returning to the platform. As a result, interest in trips builds naturally over time, without requiring ongoing effort from you.
